Job Responsibilities
- When necessary, screen phone calls, deal with enquiries where appropriate and serves as a gatekeeper by knowing and managing as necessary the ED’s calendar.
- Analyze, respond to and send out communications as necessary.
- The Executive Assistant will copy the ED/OD/SGA on official communication with donors, friends of LAMB, international staffing, international organizational matters.
- Research, write reports/newsletters and prepare draft policies in coordination with other management staff as necessary, concerning any topic as requested by the ED/OD/SGA.
- Support the formal and informal communication channels between the ED/OD/SGA and other Directors/Advisors/Staff and quickly work to resolve any issues hampering close coordination.
- Attend all LPSC, LMC and PC meetings; take and disseminate minutes of meetings and ensure the ED/OD/SGA is well-prepared for the discussions. Talk through the objectives.
- Available to assist LAMB directors and officers in problem solving administrative issues.
- Provide relevant advice to the ED/OD/SGA regarding administrative, managerial or strategic matters and helps manage expectations of the Office of the ED.
- Help ensure that the standards of excellence are met with regard to MOUs and Contracts and that the ED is kept abreast of important legal & government liaison issues.
- Gather all documents related to administrative policies, Minutes of LMC, LPSC and PC meetings, implementation plans, protocols or curricula, strategic issues, etc. into a central location.
- Assist in completing statistical and other required reports for submission to the Government offices as instructed by the Secretary of Government Affairs.
- Assist in completing statistical and other required reports at the request of the Executive Director.
- Provide or secure translation services for all reports that need to be presented in an alternate language.
- Maintain up to date centralized collection of all documents necessary for external organizational assessments.
- Be familiar with all Executive Limitations and the schedule of reporting, ensuring board reports are available as needed in a timely manner.
- Maintain the board virtual library.
- Support the management consultant in maintaining what is necessary for continued registration in SAM (for US government) and the partner portal (for UN agencies.)
- Participant in the Property Facilities Committee and help to maintain the 20-year Facilities Plan.
- Help ensure that signed final copies of all MOUs and Contracts are housed with the internal auditor.
- Maintain subrecipient information for proposals as requested.
- Contribute to senior staff devotions.
Additional Requirements
- Age at least 30 years
- Both males and females are allowed to apply
- At least 5 years working experience in and leading teams in multicultural development organizations/ NGO’s.
- Read, write and speak in Bangla and English proficiency.
- Familiarity with government system, compliance issues and grant requirement training required.
