Admin Executive
Responsibilities
- Lower Staff Supervision - develop and maintain checklists, randomly check the working
- Routine and random checks on office maintenance
- Supervision of motor vehicles, generator, other heavy duty equipments log for fuel and service
- Develop and implement procedures for maintenance and upkeep of office assets, machines and fixtures
- Arrange of delivery van as and when required by SMD
- Ensure proper repair and maintenance is carried out of equipments whenever required
- EOBI, SESSI, Professional Tax, Stamp & Revenue handling and record keeping
- Dealing with PTCL, KESC, SSGC, and other government departments as and when required
- Dealing with management of the office buildings, whenever required, and ensuring smooth facility provisions to office
- Dealing with courier services, working out most feasible options as and when required
- Dealing with official vendors for administration tasks of office
- Developing and maintaining best practices in procurement and purchasing of local items
- Random checking of utilities, other bills, PABX reports, courier log, other logs and reports and ensure no foul play
- Monitoring monthly consumption and usage patterns of utilities, monitoring any problem areas and suggesting improvements
- Monitoring and stocking office items, issuance and usage of the same
- If required, conduct audit of departments / teams (wherever applicable) alongwith store personnel
- Assist FINANCE & ACCOUNTS DEPARTMENT with monthly payroll by undertaking timely action on manual entries, leaves, CPLs, etc
- Monitoring of office premises through CCTV and ensuring smooth working incase of problem
- Keep evaluating office environment and ensure all staff follow code of conduct (support can be taken from HODs to ensure the same)
- Keep evaluating administration policies and suggest improvements
