Admin / Finance Controller

Responsibilities

Admin / Finance Controller generally called Office In-charge is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.

Office In-charge core responsibilities covered the administrative tasks like, directing, organizing and controlling project activities, under the direction of a Project Manager and Focal Person.

Duties and responsibilities

Admin / Finance Controller will be responsible to manage HR resources.

Admin / Finance Controller must issue job contract to each Data Entry Operator (in consultation with the District Coordinator) and must be signed both by Office In-charge as well as employee. This is to ensure that all staff will be on company contract and know their roles and responsibilities.

Admin / Finance Controller must communicate with District Coordinator regarding HR issues

Keep records of updated employee list and contract in proper filing, the list of employee / contract documents must only be shared after approval of Project Manager.

Inventory sheet must be updated each month 20th with tags on each item, it is core responsibility of Office In-charge to maintain full inventory, update and share with Islamabad every 20th of each month.

Update project manager and Client Focal Person for damages/theft.

Keep record of Office Financial documents of future reference and check and due to nature of confidentially it must be kept safe & possibly make it online.

Keep clear notes regarding timing

Office In-charge is responsible for the resolution of administration issues, employee grievances, salary issues & leaves issues, inventory issues etc.

Leaves will only be considered when submitted on paper & duly approved from Office In-Charge & District Coordinator, records of leaves & salary information should be handled by Office In-charge & shared when required.

Responsible for providing a neat & clean working environment.

Any Other task assigned by Project Manager/Focal Person.

Responsible for engaging vendor for services involved for smooth running of operations, create separate account heads & making sure to clear the vendor payments on time.

Responsible for the recording / saving / maintenance of CCTV videos; So that they can be shared when needed. Recording of videos is a sensitive matter so office In-charge must take all necessary actions to keep the matter confidential and NO access be provided without prior approval in written.

Working condition

The unavoidable, externally imposed conditions under which the work must be performed and which create hardship for the incumbent including the frequency and duration of occurrence of physical demands, environmental conditions and mental demand.

Office In-charge may be required to work some evenings and weekends to meet project deadlines.

Qualifications and Experience

Bachelor degree (14 Years of education)

1-2 years of experience in management field

Knowledge of office administration

Knowledge of human resource management and supervision

Ability to maintain a high level of accuracy in preparing and entering information

Key competencies

Excellent interpersonal skills

Analytical and problem solving skills

Computer skills: MS word, Excel, Spreadsheet

Time Management Skills

Attention to detail and high level of accuracy

Team building skills
