Job Purpose:
The Operations Assistant is responsible for overseeing and coordinating all activities related to procurement, supply chain management, and operational processes. This role involves managing vendor relationships, sourcing suppliers, negotiating contracts, and optimizing processes to ensure the timely delivery of goods and services while maintaining cost-efficiency.
Duties and Responsibilities:
1) Operational Efficiency:
Streamline operational processes to enhance efficiency and reduce wastage.
Identify bottlenecks and areas for improvement within the operations and procurement workflows.
Implement best practices to enhance productivity and resource utilization.
2) Vendor Management:
Develop and maintain strong relationships with key vendors and suppliers.
Conduct regular vendor performance evaluations and address any issues or discrepancies.
Engage in vendor development initiatives to improve overall supplier capabilities.
3) Contract Management:
Draft, review, and negotiate procurement contracts and agreements.
Ensure contracts are compliant with legal and company standards.
Monitor contract milestones and obligations to ensure both parties meet their commitments.
4) Data Analysis and Reporting:
Collect and analyze data related to procurement, operations, and supply chain activities.
Prepare reports and presentations to provide insights on key performance metrics and trends.
Use data-driven insights to make informed decisions and drive continuous improvement.
5) Risk Management:
Identify and mitigate risks within the procurement and operational processes.
Implement strategies to address potential disruptions, such as supply chain interruptions or quality issues.
