Operations Executive / Travel Coordinator

Responsibilities Associated with Office Operations:

Provide administrative support to ensure efficient operation of the office.

Assistant HR team for scheduling job interviews and communicating with candidates.

Answers phone calls, schedules meetings and supports visitors.

Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.

Complete operational requirements by scheduling and assigning administrative projects and expediting work results.

Exhibits polite and professional communication via phone, e-mail, and mail.

Support team by performing tasks related to organization and strong communication.

Provide information by answering questions and requests.

Contribute to team effort by accomplishing related results as needed.

Produce/update/analyze monthly reports and KPIs, providing management information as requested.

Undertake relevant project work as required.

Assist with the intake of Interns & Graduates and perform other related duties as required.

Responsibilities Associated with Travel:

Coordinate and assist with the relevant stakeholders for visa documentation, visa application processing and other travel documentation.

Ensure to confirm availability plus convey tentative itinerary to respective traveler for approval.

Arrange travel and accommodation for all employees and managers visiting the Contour Offices.

Serve as a general resource and point of contact for travel-related issues; assist employees with travel-related issues or concerns.

Receive and respond to incoming travel requests on behalf of the organization.

Research, negotiate, and secure reservations with airlines/travel agency, car rental companies, and hotels.

Act to ensure safe and efficient travel operations, in accordance with organizational policies and guidelines.

Required Skills/Abilities:

Excellent verbal and written communication skills.

Strong presentation and negotiation skills.

Successfully manage multiple priorities in a fast-paced environment.

Ability to evaluate and research training options and alternatives.

Incredibly organized and detail-oriented.

Ability to juggle multiple projects simultaneously.

Prior travel agent experience preferred.

Understanding of travel policies and regulations.

Ability to maintain and manage vendor relationships.

Extremely proficient with Microsoft Office Suite and related program software.

Job Timings:

10/11:00 AM to 7/8:00 PM PKT (Monday to Friday).
