Purpose of the position:
The purpose of this position is to assist the Finance and Admin Officer of the GRIP project ensuring the day-day adjustment of the financial transactions, monthly forecasting of the planned expenditures and quality of the financial transaction of the planned action in coordination with program team and Finance.
Roles and Responsibility:
Financial role:
Maintain books of accounts and smooth functioning of the accounting systems and record keeping pertaining to the program.
Store and preserve all the valuable and necessary documents and records related to program accounting.
Maintain Accounting Software for Project Accounts and update regular posting, where necessary.
Assist Finance & Admin Officer to prepare monthly bank reconciliation report and submit in timely manner.
Make sure all the financial transactions are made as per BDRCS and doner financial policy.
Maintain Fixed Asset Register and stock registers for the Program.
Preserve all program related documents/ records/ data including hard and soft copy back-up.
Assist Finance & Admin Officer to prepare monthly cash forecast, monthly and periodical financial statements.
Support to Finance & Admin Officer and Program Support Assistant to prepare monthly cash forecast, monthly and periodical financial statements.
Assist and cooperate Internal and External audit of the Program.
Check and verify bills and vouchers received from Program staffs in line with organizational policies and agreed budget and ensuring submission of bills in time.
Ensure the VAT & Tax compliance with the government rules.
Assist Finance & Admin Officer to generate regular financial reports for internal and external stakeholders.
Assist Finance & Admin Officer to prepare financial updates during project meetings and presentations.
Assist Finance & Admin Officer to process payroll and related activities accurately and in a timely manner.
Ensure smooth functioning of financial and administrative issues at project location/field.
Administrative role:
Manage office supply stock and place order including preparation of reports on expenses and office budget.
Organize a filing system for important and confidential office documents.
Provide assistance to Program team to maintain monthly work plan of program activities.
Ensure general administrative functions related to the project.
Maintain asset register as per the organizational rules.
Maintain the HR related issues (Daily attendance; staff leave report, movement, time sheet etc.).
Compliance:
Ensure compliance with organizational policies, donor requirements, and legal regulations.
Coordinate with internal and external auditors & stakeholders as needed.
Ensure compliance with tax regulations and other statutory requirements.
